Special Event Graphics: What to Order, How Far in Advance, and What to Expect

Special event graphics can make or break how your brand or message lands at a trade show, grand opening, product launch, or any big occasion. Whether you’re looking to wrap a vehicle for a promotional tour, deck out a booth with bold wall graphics, or create signage that gets your business noticed across a crowded event floor, the right printed graphics do a lot of heavy lifting. We work with clients all across Dallas, Lewisville, Frisco, Plano, Carrollton, and surrounding areas on exactly this kind of project, and the questions we hear most often are: what should I actually order, how early do I need to plan, and what does the process look like? Let’s walk through it.Special Event Graphics in Lewisville, TX, Carrollton, TX, Dallas, TX, DFW, Frisco, TX, Plano, TX

What Kinds of Graphics Work Best for Events

The honest answer is that it depends on where you’re showing up and what you want people to do when they see you. That said, a few formats consistently perform well in event settings.

Vehicle wraps and partial wraps are popular for businesses that want to drive attention, literally, to an event or use a branded vehicle on-site as part of their presence. If your team is rolling into a trade show, a fair, or a pop-up activation, a fully wrapped van or truck signals professionalism and gets noticed in parking lots, on the road, and in photos shared on social media.

Wall graphics and building wraps work well for businesses hosting events at their own location, or for event organizers transforming a venue space. We’ve produced large-format wall graphics for everything from corporate launch events to race day setups, and the visual impact is hard to replicate with a banner or a pop-up display.

Printed banners, window graphics, and branded signage round out most event packages. These are versatile, cost-effective, and easy to reuse across multiple events. If you’re a Plano or Frisco business doing a series of seasonal activations, having a set of well-made printed pieces in your back pocket is genuinely useful.

How Far in Advance You Should Plan

This is where we see the most stress, and most of it is avoidable with a little lead time. For most event graphic orders, we recommend reaching out at least three to four weeks before your event date. That window gives us time to consult with you on the design, get artwork approved, move through production, and schedule installation without anyone rushing.

For larger or more complex projects, such as a full fleet wrap for multiple vehicles, a building wrap, or a custom booth build-out, six weeks or more is a safer target. October is actually a busy season for event graphics across the DFW area as businesses gear up for fourth-quarter promotions, holiday activations, and end-of-year trade shows. If your event falls in late fall or early winter, now is the right time to start the conversation.

One thing we always tell clients in Carrollton, Dallas, and the surrounding area: the design phase takes longer than people expect. If you’re coming to us without finalized artwork, build in extra time for revisions and approvals. Our in-house design team handles that process from start to finish, which helps keep things moving, but approvals still depend on you.

What to Expect During the Process

When you reach out to us, the first step is a consultation where we get clear on the scope of your project, your event date, your goals, and your budget. From there, our in-house team develops the design, which you’ll review and approve before we move into production.

All of our production happens on-site at our Lewisville facility, which includes over 3,000 square feet of dedicated install space. We use only premium materials, and every installation is handled by certified and insured installers. That matters for event graphics especially because you need pieces that look sharp on the day and hold up through the event without lifting, fading, or bubbling.

Once installation is scheduled, turnaround times vary by project size, but we keep clients informed throughout. For vehicle graphics, installation typically takes anywhere from a few hours to a full day depending on the complexity of the wrap. We’ll give you a realistic timeline upfront so you can plan around it.

After the event, some graphics are designed for temporary use and can be removed cleanly. Others, like a full commercial vehicle wrap, are built to last well beyond a single event. We’ll talk through which approach makes sense for your situation during the consultation.

A Few Things That Help Projects Go Smoothly

Have your brand assets ready, including logos in vector format if possible. Know your event date and any hard deadlines. Be as specific as you can about where the graphics will be displayed. And don’t wait until two weeks out to start the conversation, especially in a busy season.

If you have an event coming up and you’re still figuring out what you need, give us a call or drop us an email. We’re happy to help you think through the options and put together a plan that works for your timeline and budget.
